Before importing the file to the Momentum Collective Import Screen
Before you can import your maintenance files, you must ensure that each Property Code in the file matches the Property Name exactly in Chintaro. Open each file, and look in the Property Code column:
This code should match the Property Name column, which you can check in Chintaro by opening Manage Properties (click Property in the Toolbar and look in the Property Name column):
If there is a Property Name in the file that does not exist in Chintaro, you will need to add the Property with the exact Property Name in the file so that the import can work. From the Manage Properties screen, click Add Property and add all relevant details:
Using the Momentum Collective Import Screen
Once all Property Codes in all 4 files have been cross checked against the Property Names in Chintaro, you can import the files to create Work Orders and Inventory Items (where applicable).
From the Home screen, click Property Maintenance, then Imports/Exports... , then Momentum Collective Import
The Momentum Collective Import screen will open, and the steps for the screen are numbered on the left hand side.
Step 1: Select one of the text file to import. This file will be named Work order template and be grouped by type. Click the Ellipsis button (3 dots) to navigate to the folder with the saved files and select one file.
Step 2: Click Import to import the file into Chintaro (NOTE: This does not create the tasks and inventory items - this step brings the data into a temporary table).
Chintaro will display a message when the import has been completed.
Step 3: Select the Import Type. The Import Type will match the group at the end of the file name, for example, the template named Word Order Template FireSafety will need to have the Import Type of Fire Safety selected:
Step 4: Click Apply Update. This action creates maintenance tasks for the Properties with the Inventory Items that exist in Chintaro, and create a new Inventory Item as well as Maintenance Tasks that link to the new Inventory Item for those properties without an Inventory Item of that type.
Chintaro will display a message when the action has been completed:
Repeat this process for all 4 files.
How to fixing errors on the Maintenance Update screen
If you see any errors in the Error table, the Property Code from the file could not match on a Property Name in Chintaro.
To fix any errors, you will first need to note down the Property Names that couldn't be imported, go back to the Manage Properties screen and add the Property with the Property Name exactly as it's written in the Property Code of the file (See section Before importing the file to the Momentum Collective Import Screen above).
You will then need to open the file you had imported and delete out any tasks already imported. This is a crucial step: If you do not delete out the tasks already imported, the tasks will be duplicated.
After amending the files to show only those tasks that are not yet imported, follow the steps in section Using the Momentum Collective Import Screen to import the remaining tasks).
