System Maintenance - Update Tenant's Rent in Bulk From a File

If you receive Tenancy Rent information via a spreadsheet, it may be able to be imported directly into Chintaro and your tenant's rent charges updated in bulk. The process will update Current Weekly Rent in the Room Rent Record for each tenancy included in the file.


Note: the process will not update other charges. They will need to be updated manually.


The file format is flexible, however, there are some minimum fields that are required to enable the file to import successfully, which include: 

  • A field to identify each tenancy (either ID, Payment Book ID)
  • the date to apply the new weekly rent
  • the amount of the new weekly rent 
  • and the new market rent 

The column headings from your file will be selected at the time you import the file so that you can select the correct headings to match the required fields.


Note: the process will only update information that is on the first sheet of a multi-sheet spreadsheet. 



Updating the Tenancy Rents from a file in bulk

To update your tenancy New Rent data from a file, from the Home screen, click System Maintenance, then Tenancy Rent Bulk Update.


Select Text File - Browse to find the file that contains the new weekly rent information. The file may be an excel spreadsheet. 


Import the file - Click the Import button. If successful you will see the 'Import Complete!' message. Click OK 


Select Tenancy Field to match on - Select one of the two methods to match your tenancy from the import file.

ID - to match on the ID field from the tenancy screen (used in the example screenshot below)

Payment Book  - to match on the Payment Book ID field from the tenancy screen


Select Tenancy Field - Select the column heading from your import file that contains the match data type that you selected above. (ID is the name of this field in the example screenshot below - your column may have a different heading)


Select New Rent Date - Select the column heading from your import file that contains the start date for the rent change. (2020RentReviewDate is the name of this field in the example screenshot below - your column may have a different heading)


Select New Rent - Select the column heading from your import file that contains the new rent amount. (NewWeeklyRent is the name of this field in the example screenshot below - your column may have a different heading)


Select New Market Rent - Select the column heading from your import file that contains the new market rent amount. This column is required. If the Market rent is not changing on the same date as the new rent charge is applied, you will need to include the Current market rent column for this data. (NewWeeklyMarketRent is the name of this field in the example screenshot below - your column may have a different heading)



Update Tenancy Rents - Click the Apply Tenancy Rent Note: this process will update the Room Rent Record and cannot be undone. 


When the process has started you will see the message Update started with a date and time stamp in the Errors: output pane.

When the process has finished, and there are no errors detected, you will see the message 'imported and updated successfully'


Click OK, and you will see a timestamp based on the time that you clicked the OK button. Click Exit to leave the screen.
