System Maintenance - Vacant Untenantable Rooms screen

The Vacant Untenantable screen allows your System Administrator to change the details of an untenantable period, such as the Start Date, End Date or comments related to the room. This solution details:


Understanding the Vacant Untenantable Rooms Screen

Each row in this screen indicates an untenantable period for the Property listed in the Property Name column. The Room Number column indicates the room the untenantable period relates to:


The Start Date and End Date columns indicate the start and end dates of the untenantable period.


Any reason that the room was untenantable will show in the Room Status Untenantable column. New reasons can be added to Chintaro via System Maintenance > Reference Tables > Room Status Untenantable.


The Comments will indicate if the period was following the vacating of a tenancy, or manually entered through the property screen. If the comments state Tenancy ID = xxx, the untenantable period is immediately following a tenant vacating. If the comments state Changed via xxx the untenantable period has been added manually through the property. No comments may indicate the untenantable period was added through this Vacant Untenantable Rooms screen, or the comments have been removed.


Exemption Agreed and Exemption Reason are used for MSD Reporting (NZ) and Date Entered, Date Last Changed and Last Updated By are all audit fields.


Changing the Start or End Date of an Untenantable period

The Start Date and End Date columns indicate the start and end dates of the untenantable period. If either of these dates are incorrect, you can change them by clicking in the appropriate field(s) and either typing the correct dates or selecting from the calendar icon:


Clicking elsewhere on the screen saves the date field.


Changing the reason or comments for an Untenantable period

To change a reason or comments for an untenantable period, select from the drop down list (for Reason) or type in the free text field for Comments:


Removing an Untenantable Period from the system

If you would like to remove an untenantable period from the system, you can delete it from this screen.


Click on they grey box of the row you want to delete so that the entire row is highlighted, and press the Delete key on your keyboard. Clicking yes to the warning message will remove the untenantable period from the system.

Adding a new Untenantable Period to Chintaro

It is recommended that to add a new untenantable period to Chintaro, you use the steps in this link: Property Screen - Changing a Room's Status


However, if the room you want to add the period for is currently occupied and you need to add historical periods of being untenantable, you can add a new untenantable period in the row with the *, by selecting the Property Name from the Property Name drop down:

Then, select the Room Number (if multiple rooms at the Property), enter the Start Date, End Date, Room Status / Reason and Comments.
