Finance - Create template Property/Tenancy Transaction bulk Import

Chintaro can create a template of all of your properties or tenancies to be populated outside of Chintaro and imported back in. This is particularly useful when you need to create bulk charges to either and don't want to go into each individual property or tenancy to apply them. This solution covers:


Creating a file for adding transactions to properties in bulk

From the Home screen click Finance, then Property Transaction Functions, and Property Transaction Bulk Data Entry.


To create a new template, click on the New Import Template button and the following pop up box will appear:


FieldDescription
Transaction TypeSelect a Transaction Type that you would like pre filled in the template, for example 'Council Rates' 
DateThe date of the transaction.
AmountEnter if you would like all properties to have the same amount applied. Leave blank if the amounts will vary depending on the property.
GST AmountIf applicable.
CommentsEnter if you would like all properties to have the same comment applied. Leave blank if the comments will vary depending on the property.


When you have entered the the optional fields you wish to enter, click Create.


A spreadsheet will open populated with all of the properties in Chintaro, and with the additional fields populated such as Transaction Type, Date, Amount, GST and Comments. 


From this spreadsheet, you are able to manipulate the data as you wish, by editing amounts, removing properties etc. When you have completed populating the spreadsheet, save it to your PC. 


Back in Chintaro, go to the Import Filename box and click the ellipsis to select the file from your saved location:


Once you have selected the file, click Import File.



Chintaro will import the file you created and you can further edit the data as required on the screen. When you are ready to process the transactions on to the Property ledgers, click on Process Transactions. A warning message will appear stating that 'This will process ALL data entry records. Do you want to continue?' Press Yes to continue, or No to cancel and return to editing the data:


Clicking Yes will process all transactions on to the individual Property Ledgers.
