The email function on the Tenancy screen is used to send a single email to a tenant directly from Chintaro. The benefit of sending tenants emails through Chintaro is that the information you send will be recorded in the tenant's note history.
This solution covers:
Create and send an email to an individual tenant
The email field is located on the Client screen:
To send an email to a tenant, from the Tenancy screen, click Email:
Enter the following information in the Email pop up:
Field | Description |
Create Client Note? & Note Title | Ticking this box will automatically record a Client Note with the contents of the sent Email. This box can be ticked as a default through System Maintenance> Preferences> Tenancies Rent> Create Client Note. Add a short description of the note in the note title. |
Attachment 1- 4: | Clicking the ellipsis box will allow you to add attachments to your email. |
Subject and Message | Enter as you would with any other Email. |
When you're ready, click the Send Email button and the email will show in your Outbox on your PC. You may get a message asking your approval to be sent and if so, your IT Department may be able to assist you to remove this warning. All replies will be sent to your desktop Email system.
If you have chosen to create a note, it will now be showing in the Notes section.
Sending emails to tenants in bulk
To send bulk Emails to Tenants, from the Home Screen, click Tenancies, then click the Tenancy Email function. The Bulk Email Statement screen will open:
Filter the screen to show the tenant(s) you would like to send the email to. You may filter the column by Program, Address, through Tags etc.
Enter the following information at the top of the screen:
