If you have a number of different transaction types to enter in to multiple Tenancy Records (EG Rent Payments, Water Charges, Home Care Charges, Gardening Payments, etc) you could do it by going in to each Tenancy and entering the transaction manually, but to save time you can enter transactions in bulk via the Tenancy Transaction Bulk Data Entry Screen.

 

To access the Tenancy Transaction Bulk Data Entry screen, from the Finance Sub-Menu, click Tenancy Transactions Functions and then click Tenancy Transactions Bulk Data Entry. 

 

The Tenancy Transactions Bulk Data Entry screen will open:



Manually Entering Transactions

 

Begin to type the surname of the Tenant in the Tenancy column


Press <TAB> or <ENTER> to move quickly to the next field.

 

Select the Transaction Type from the drop down list (EG Water Charge)

 

Enter the Date of the transaction

 

Enter the transaction Amount & GST (If applicable)

 

Enter any comments regarding the transaction (EG Water Charge for September)

 

Repeat the process for all Transactions you want to enter

 

Click  to process all transactions to the Tenancies selected

 

Chintaro will warn you that all transactions on the screen will be processed. Click Yes to continue, or No to quit.


 

The transactions will now appear on the Tenancy Transactions ledger of each Tenant.



Creating a Template for Importing Transactions


If you have multiple Tenancies that require the same charge or payment (EG $10 Garden Charge), you are able to create an Import Template from Chintaro to add the transactions in bulk.

 

Click New Import Template

 

The Create Template pop up box will open:


 

All fields in the Create Template pop up box are optional. Enter the fields that you want to be populated in to the template. In the Create Template box, select a transaction type that you would like prefilled in the template, for example Garden Charge. You are able to add an amount if you are bulk adding the same amount to a number of properties, but if you want to add the amounts manually, leave the amount as 0. You can also add comments in the comments section.

 

Click 


An Excel spreadsheet will open, populated with all of the Tenancies in Chintaro and with the additional fields entered, such as transaction type, date and the description. From this spreadsheet, you are able to manipulate the data as you wish, by editing amounts, removing Tenancies etc.



 

Save the edited document

 

Click thebutton to find the saved file on your network:

  


Click  to import the file back in to Chintaro. All transactions will appear in the Tenancy Transactions Bulk Add screen. You are able to further edit the transactions in this screen, if necessary.



 

When you are ready, click

 Chintaro will warn you that all transactions on the screen will be processed. Click Yes to continue.



 

 The transactions will now appear on the Tenancy Transactions ledger of each Tenant.
