Finance - CCeS Income Confirmation Service

This solution covers the steps required to request that the client incomes are provided by Centrelink and imported into Chintaro:


Check clients have appropriate data and permissions entered

All Clients who have consented to your organisation using the Income Confirmation Service (ICS) need to have certain permissions checked and data entered to their screen in order for the data to be confirmed and sent back to Chintaro from Centrelink.


If you client has approved of you using the ICS, they need to have the following entered into their screen:

Centrelink Income AuthorityTick indicates the client consents to using this service.



Create the export file to send to Centrelink

When you are ready to create the file with client information, from the Home screen, click Finance, then Centrelink Functions and CCeS – Export XML Incomes. 


A message will appear to ask if you want to load all clients or only those who are currently tenanted. Choose Yes or No as required:


This screen will display Clients who:


1.  Have a CRN entered in the Income Section of the Client Record

2.  Have a Date of Birth entered in the General Section of the Client Record

3.  Have the Centrelink Income Authority box ticked on the Client Record, indicating that you have the Client’s permission to use the service


Click Select All to Include all Clients, or individually tick the Include box for those Clients you want to include in the Export.

 

Ensure your CCeS User Id, CCeS Agency ID & Agency CRN are entered. If not, these can be entered in System Maintenance > Preferences > Tenancies Rent.

 

Select an Output Folder where the file will be saved when created and click Export.


Chintaro will advise you the file has been created successfully in the location you populated. 


Upload the request file to the CCeS for Business Website

The next step is to upload the file created from Chintaro to the Business website (Batch Enquiry). The website requires the file to be zipped before it is uploaded. Right click on the file> Select Send to > Select Compressed (zipped) folder



The steps listed on the website are shown below:

  1. Log on to Centrelink Business Online Services.
  2. Enter your User ID.
  3. Enter your Password.
  4. Go to Organisational Online Mail System.
  5. Select the service type.
  6. Select Compose New to submit your zipped XML file.
  7. Check your Inbox for a response that it’s done.


You can enquire about multiple customers by submitting a batch XML file. You’ll usually get a response to the batch file within 24 hours. It may take longer depending on the size of the file.


After you have uploaded the file to the CCeS for Business website, you will be notified that you have received a response file which you can then import in to Chintaro. 


Start by downloading the zip folder containing the file. You'll need to unzip this folder, and save the .xml file contained within to a folder that you can access through Chintaro.


In Chintaro, from the Home screen, click Finance, then Centrelink Functions and CCeS – Import XML Incomes

 

 

Click the button to find the CCeS response file. it will look something like this:


 

When you have located the file, click Import. Status Comments will appear in the display window, and the client incomes will be updated.


Review the last import of incomes

After you have imported the CCeS income file, you are able to review the last import through the Review Last Import screen.

 

From the Home screen, click Finance, then Centrelink Functions and CCes Review Last Import.


The Centrelink ICS Last Import screen will open where you can review the import as necessary. Click the Print function to print the data on the screen, or Export to export the data to Microsoft Excel.


You can also view all client incomes from the Manage Client Incomes screen (Home > Clients > Manage Client Incomes).
